Use online invoicing tools like Xero or QBO, which can send invoices automatically and follow up on unpaid ones. Invoice promptly, the sooner the invoice is raised, the sooner it can be paid.

2. Invoice clearly

Invoices are often rejected, delayed or put aside if the description on the invoice is confusing. make sure your invoice is crystal clear on what you are charging for. If your client signed a contract or issued a purchase order – do make sure that it’s quoted on your invoice. Larger customers often won’t process an invoice without the PO number which delays your payment.

3. Shorten payment terms

You’d be surprised at how many invoices we see that don’t have payments terms or due dates on so default to 30 days or ‘whenever the supplier chases’!

Clearly define short payment terms to encourage quicker payments. Implementing these shorter payment terms involves setting and communicating clear, concise deadlines for payment from customers, typically ranging from 7, 10 or 14  after invoicing or after the job is complete.

This strategy encourages faster payment, enhancing your business’s cashflow. It’s crucial to establish these terms upfront in contracts and invoices and to communicate them effectively to ensure customers are aware of their obligations. Establishing a consistent follow-up process for late payments is also essential to maintaining effective cashflow management.

Implement a policy requiring partial or full payment before starting a project, delivering a service or delivering goods, which ensures immediate cash inflow and protection from clients who might not turn up for pre-booked appointments, might run out of cash later or who might abscond with your goods! It happens!

Consistent, persistent and polite chasers are the key to getting your invoices paid on time. If you have a small number of invoices outstanding you can use Xero invoice reminders to chase customers, it will send 5 reminders and stop.  If you need a more sophisticated solution, then you can use a product like Chaser.

6. Charge interest on late payments

Incorporating late payment interest charges into your invoicing terms can incentivise timely payments and compensate for the costs associated with delayed funds. This proactive approach not only improves liquidity but also fosters better relationships with clients by keeping communication clear and expectations managed.

7. Offering payment incentives to customers

I’m not a fan of this strategy personally, but some clients use it successfully. Provide discounts for early payments to encourage customers to pay sooner. Offering payment incentives is a strong strategy to encourage quicker customer payments, improving cashflow.

By reducing the payment timeframe, you can use the incoming funds more effectively for operations or investments. This approach not only accelerates cash inflow but can also strengthen customer relationships by providing value through cost savings.

It’s important to carefully structure these discounts to ensure they don’t erode profit margins significantly. Calculating the right balance between incentivising early payments and maintaining profitability is key.

8. Ask for payment incentives from suppliers

Where we have used this successfully is in negotiating payment terms with chunky suppliers such as recruitment agencies – these payments can be quite lumpy and had a big impact on cashflow. Where possible, and if cashflow allows – negotiate prompt payment discounts which will reduce your costs, protect your margins and reduce your payables!

9. Streamline payment processes

Make it easier for your client to pay. Incorporating a strategy to sign clients up for direct debits can be highly beneficial. Utilising a service such as GoCardless can significantly enhance cashflow. 10. Manage expenses wisely

While you want cash to come in faster, it’s beneficial to slow down cash going out, without damaging relationships with suppliers. Strategies include:

  • Review spends frequently, reduce or cancel any spends that are not helping you achieve your goal

  • Using a credit card for any purchases (and then paying the balance before any interest is charged).
